Meetings in person allow for more natural conversation and nonverbal signals, which aren’t feasible in a virtual space. But, with a little planning and effort, nonprofits can still maintain the effectiveness of their meetings when they switch to a virtual format.
Virtual board meetings can be as productive as in-person sessions by using the best practices. To ensure that your meetings are productive and fun, consider the following tips:
Comprehensive Preparation
Virtual meetings require more extensive preparation than sessions in person. A detailed agenda, including clearly defined discussion topics and time limits for each topic should be shared ahead of the meeting to ensure directors are able to research any information they require and prepare questions or suggestions before the meeting begins.
Meet materials for the meeting early
When you can check your Facebook or email accounts and forget about the meeting. Distribute all meeting materials, documents, and information at least one week prior to the session. This will stop participants from having to attend meetings for too long and give them more time to take part in discussions and make decisions.
Use a virtual board administration software platform, such as OnBoard to give your board members access to all required items and resources ahead of the meeting. By doing so you will be able to avoid the common distractions caused by connectivity issues and technical issues that can disrupt or delay meetings. To avoid these issues ensure that you have your board’s management software provider to test all equipment and links for every participant prior to the meeting.
